📄 Cost Breakdown
Planning estimate only — not financial, tax, accounting, or legal advice. This tool does not calculate income taxes, GST/HST, CRA obligations, CPP/EI, IFTA, depreciation, CCA, carbon levy, or any government fee or rate. This is not an official financial statement. Verify all figures with a licensed accountant.
A load rate tells you what one trip pays. Your monthly P&L tells you whether the business is making money. This estimator puts your entire month on one page: every dollar that came in and every dollar that went out, converted to a net profit, margin, and — if you track kilometres — a cost per km figure that shows how efficiently you are running.
The calculation is straightforward arithmetic on the numbers you enter. Gross revenue is your freight earnings plus any accessorial or detention revenue. Total costs are every expense line added together, including the dispatcher fee and factoring fee computed from your rate and mode. Net profit is what is left. Nothing is fetched, assumed, or hardcoded — no income tax, GST/HST, CRA obligation, CPP/EI, IFTA, depreciation, carbon levy, or government rate is calculated.
Figure
Formula
Gross revenue
freight revenue + accessorial revenue
Dispatcher fee (% mode)
gross revenue × dispatcher % ÷ 100
Dispatcher fee ($ mode)
entered flat CAD amount
Factoring fee
gross revenue × factoring % ÷ 100 (if entered)
Total costs
sum of all cost lines including dispatcher fee and factoring fee
Net monthly profit
gross revenue − total costs
Profit margin
net profit ÷ gross revenue × 100
Cost per loaded km
total costs ÷ loaded km (if km entered)
Profit per loaded km
net profit ÷ loaded km (if km entered)
Cost per total km
total costs ÷ total km (if km entered)
Run it at the end of each month with your actual figures to see where the money went. The cost breakdown shows each category as a dollar amount and as a percentage of gross revenue, so you can see at a glance whether fuel, dispatcher fees, or truck costs are taking the largest share.
Frequently Asked Questions
What does this monthly P&L estimator calculate?
It estimates your monthly net profit and loss as a Canadian owner-operator in CAD. You enter your gross monthly freight revenue, any accessorial or detention revenue, and every monthly cost line — fuel, truck payment or lease, insurance, maintenance, tires, permits and licensing, ELD and software, parking and tolls, dispatcher fee, factoring fee, and any other fixed or variable costs. It returns net monthly profit, profit margin, a full cost breakdown by category, and — if you enter kilometres — cost per loaded km, profit per loaded km, and revenue per loaded km. All inputs are user-entered; nothing is hardcoded.
How is the dispatcher fee calculated?
The dispatcher fee field has two modes you select: percent of gross revenue, or flat CAD. In percent mode, the fee is your gross monthly revenue multiplied by the percentage you enter — for example, 10% on $12,000 gross is $1,200. In flat mode, you enter the dollar amount directly. The fee is then included in your total monthly costs. Leave the field at 0 if you do not use a dispatcher.
Does this tool calculate income taxes, GST/HST, CRA obligations, or CPP/EI?
No. This tool does not calculate income taxes, GST/HST, CRA T1 or T2 obligations, CPP contributions, EI premiums, CCA depreciation schedules, carbon levy, IFTA fuel tax, or any government fee or rate. It is a planning estimate for your monthly business operating profit and loss based only on the cost figures you enter. Verify all tax, remittance, and regulatory obligations with a licensed accountant.
How is this different from the Canadian Load Profitability Calculator?
The Canadian Load Profitability Calculator is for a single load — you enter what one load pays and what it costs to run, and see whether that load makes or loses money. This monthly P&L estimator aggregates your entire month: total gross revenue from all loads, and every monthly operating cost including dispatcher fee and factoring. It shows your overall monthly business health rather than the profitability of one trip.
What are the monthly kilometre outputs used for?
If you enter loaded kilometres for the month, the tool calculates cost per loaded km, profit per loaded km, and revenue per loaded km for the month as a whole. These let you compare your monthly operating efficiency against your per-load or per-km rate targets. They are optional — leave them blank if you only need the dollar-level P&L figures.
