How a dispatcher fee is calculated

A freight dispatcher finds and books loads for you and handles the paperwork — and charges for it. In Canada most dispatchers charge a percentage of each load's gross revenue (commonly somewhere in the mid-single digits to about 10%, but use your own), while some charge a flat fee per load or add other charges. If the dispatcher is registered and charges sales tax, GST/HST may apply on top of the fee. This calculator takes the figures from your own agreement and shows the dollar cost and the revenue you keep.

Some dispatchers apply the percentage only to the linehaul and exclude the fuel surcharge from the fee base. If that is your arrangement, enter the fuel surcharge amount to exclude it, and the percentage fee is calculated on the rest. Add a number of loads to project the cost and your net across a week or a month.

Frequently Asked Questions

How much does a truck dispatcher cost in Canada?
Dispatcher cost depends entirely on the rate in your own agreement, not on any fixed figure. Most Canadian dispatchers charge either a percentage of each load's gross revenue or a flat fee per load, and some add other charges. This calculator multiplies your gross load revenue by the dispatch fee percentage you enter, adds any flat fee and other charges you enter, optionally adds a GST/HST amount you specify, and shows the total dispatch cost and what you keep. Enter your own actual rate and fees; nothing is assumed.
What is net revenue after the dispatch fee?
Net revenue after dispatch is your gross load revenue minus the total dispatch cost — the dispatch fee, any flat or other charges, and any GST/HST you entered. It is what is left from the load to cover your truck costs and your pay. This tool shows the dispatch fee, the tax on the fee, the total dispatch cost, your net revenue after dispatch, and the effective fee as a percent of gross revenue.
Is GST/HST charged on dispatch fees in Canada?
A Canadian dispatch service may charge GST/HST on its fee, but the rate depends on the province and the dispatcher's registration status — figures this tool does not set or assume. If GST/HST applies to your dispatch fee, enter the rate yourself and the calculator will add it to the dispatch cost. Confirm the correct treatment with your dispatcher and your accountant; QuicklyFig does not provide GST/HST or any tax rate.
Does this calculator use set dispatch rates, GST/HST, or tax?
No. The tool uses only the figures you enter and does not apply any built-in or "market" dispatch rate, fee schedule, GST/HST, income tax, or CRA figure. Dispatch fees vary by service level, lane mix, and the carrier relationship, so enter the actual numbers from your own agreement. It is a planning estimate only — confirm pricing and tax treatment with your dispatcher and a qualified advisor.
How is this different from the Dispatch Fee Calculator for dispatchers?
This Canadian tool is built for carriers and owner-operators and answers "what does a dispatcher cost me on this load, and what do I keep?" in CAD — including an optional GST/HST line and a fuel-surcharge exclusion from the fee base. The general Dispatch Fee Calculator is built for dispatchers and answers the other side: the dispatcher's fee per load and their weekly and monthly dispatch revenue. Use this one to see your cost as a carrier; use that one to plan a dispatch business's income.
